About the Role


We are looking for an Administrative Marketing Assistant to join our team! In this position, you will have the opportunity to work closely with the marketing, administration, and management teams to fulfill various administrative tasks and marketing projects. This applicant must have skills of collaboration, teamwork, attention to detail, creativity, and time management skills to work productively, both independently and with a team.

This position is full-time. Generally, it will be a 40-hour, 5-day work week, however, work outside of these times may be necessary on a project-specific basis. Hours during the day are flexible and coordinated with the direct supervisor.

Key Responsibilities


  • Respond to telephone, email, walk-in clients, and prospective clients from the front desk

  • Collect, process, and distribute incoming mail/ deliverables

  • Project proposal creation

  • Create and assist in the planning of events for both staff and clients

  • Registering new trucks/ purchasing truck items

  • Keep a regular stock of office supplies and place orders when necessary

  • Assist in maintaining the database of photos, marketing collateral, and client relationships

  • Support ownership, management, and team members in achieving their goals by providing a wide range of administrative and marketing services

  • Assist in the management of agendas, travel arrangements, and appointments as requested

  • Aide in the creation of marketing materials, flyers, and advertisements. Assisting in ordering company logos, materials for events, and for clients when needed.

  • Take photos of new employees, HMH events, and other marketing events

  • Attend various HMH promotional and recruiting events (ex., Career fairs)

Education & Experience


  • Associate's or Bachelor's degree in Business: administration, marketing, communications, or related field

  • Previous professional experience in business, administration, marketing, or related roles

Qualifications


  • Applicant must have strong written and verbal communication skills

  • Strong knowledge of Microsoft Suite, such as Word, Excel, Outlook, etc.

  • Adobe and Canva experience is a plus

  • Excellent organizational, design, creativity, and collaboration skills

  • Ability to manage multiple projects

  • Excellent professional rapport with clients, project managers, and upper management

  • Strong verbal and written communication skills

  • Carry a positive attitude and are willing to help in various tasks throughout the office
